Contributor terms & privacy notice

These terms apply when you contribute to The Vibedex Report through one of our surveys. In plain terms: you keep your work, you let us publish and credit it, and you can pull your personal data back out at any time.

The short version

  • You keep ownership of everything you write and send us. Nothing here signs your work over to us.
  • You give us permission to publish, edit for length and clarity, and share your contribution in The Vibedex Report and related content, now and in future editions, including paid or licensed ones.
  • We credit you the way you tell us to in the survey: by name, quotes without your name, or anonymous.
  • You confirm the work and views are your own and that you are allowed to share them.
  • We look after your personal data, and you can ask us to remove it at any time.

Contributor terms

1. When these terms apply

These terms apply when you submit a response to The Vibedex Report through one of our contributor surveys or intake forms. By ticking the consent box and submitting the form, you agree to them. If you do not agree, please do not submit.

2. You keep ownership of your contribution

Your "contribution" means everything you send us: your survey answers, quotes, tips, bio, links, profile photo, and any other material you submit.

You keep all ownership and copyright in your contribution. Nothing in these terms transfers ownership of your work to us.

3. The permission you give us

You grant Vibedex a worldwide, non-exclusive, royalty-free licence to use, reproduce, publish, edit, excerpt, translate, adapt, display, and distribute your contribution, in whole or in part, for the purpose of producing, promoting, and distributing The Vibedex Report and related Vibedex content.

This licence covers all formats and channels, including our website, the report itself, social media, email, and presentations. It covers both free editions and future paid or licensed editions of the report.

The licence continues for material we have already published under it. You can ask us to stop using your contribution in future editions at any time (see section 9).

4. How we credit you

You tell us how you want to be credited in the survey: by name, with quotes but no name, or anonymous. We follow the choice you make. If you choose anonymous, we may still use your answers without identifying you.

You can ask us to change how we credit you in future use at any time.

5. Editing

We may edit your contribution for length, clarity, grammar, and house style, and we may pair short quotes with context. We will not change the substance of your opinion or attribute words to you that you did not say.

6. Your promises to us

By submitting, you confirm that:

  • The contribution is your own original work and reflects your own views.
  • You are allowed to share everything you send us, including any figures, results, or examples. Sharing it does not break any agreement you have with an employer, client, or platform, and does not disclose anyone else’s confidential information.
  • Any profile photo you upload is of you, or you have permission to use and share it.
  • Your contribution is not false, misleading, defamatory, or unlawful, and does not infringe anyone else’s rights.

You are responsible for what you submit. If a claim you make in your contribution causes a legal problem, that responsibility sits with you rather than with Vibedex.

7. Contributing does not affect our benchmarks

Contributing does not make you or the tools you mention a Vibedex partner, and it does not affect any benchmark score or ranking. Our scores are never for sale. You can read how we keep money separate from rankings on our Independence page.

8. No payment and no obligation to publish

Contributing is voluntary and unpaid. We are not obliged to publish your contribution, and we may choose to remove or update it at any time.

9. Withdrawing or removing your contribution

You can withdraw your consent or ask us to remove your contribution at any time by emailing support@vibedex.ai. We will stop using it in future editions and remove your personal data as described in the privacy notice below.

We may not be able to recall copies that have already been printed, downloaded, or shared by other people, or remove your contribution from editions that have already been distributed.

10. Changes to these terms

We may update these terms. The version that applies to you is the one published on this page on the date you submit your contribution. If we make a material change that affects existing contributions, we will notify you where we hold your email address.

These terms are governed by the laws of England & Wales.

Part B

Privacy notice

1. Who is responsible for your data

Vibedex Ltd ("Vibedex", "we", "us") is the data controller for the personal data you provide as a contributor. You can reach us at support@vibedex.ai.

This notice explains how we handle your personal data. It is written to meet UK and EU data protection law (UK GDPR and the EU GDPR).

2. What we collect

  • The information you enter in the form: your name, email address, bio, links, profile photo, and your survey answers.
  • Basic technical information our form provider records when you submit, such as the submission time.

3. Why we use it, and our lawful basis

We use your data to:

  • Publish and promote The Vibedex Report and credit you as you asked. Lawful basis: your consent.
  • Contact you about your contribution, the issue you feature in, and future issues. Lawful basis: your consent and our legitimate interest in running the report.
  • Run, understand, and improve the survey and contributor program. Lawful basis: our legitimate interest.

Where we rely on your consent, you can withdraw it at any time.

4. Who we share it with

We publish the parts of your contribution that you agreed to make public, for example your name, bio, links, photo, and quotes.

We use trusted service providers to run the survey and the website, including form collection (Tally), website hosting (Vercel), email, and analytics. They process your data on our behalf under contract.

We do not sell your personal data.

5. International transfers

Some of our service providers are based outside the UK and the EEA, including in the United States. Where your data is transferred outside the UK or EEA, we rely on appropriate safeguards such as Standard Contractual Clauses to protect it.

6. How long we keep it

We keep your contributor data for as long as the report and our contributor relationship remain active, and for up to 24 months after your last contribution, after which we delete or anonymise it. We may keep it for longer if you ask to stay on our contributor list, or where we need to in order to meet a legal obligation. Published quotes and credits may remain in editions that have already been distributed.

7. Your rights

You have the right to ask us to:

  • Give you a copy of the personal data we hold about you.
  • Correct data that is wrong or incomplete.
  • Delete your data, or restrict or object to how we use it.
  • Receive your data in a portable format.
  • Withdraw your consent at any time, without affecting use that already happened.

To exercise any of these, email support@vibedex.ai. You also have the right to complain to a data protection authority, such as the UK Information Commissioner’s Office (ICO), or the supervisory authority in your country.

8. Automated decisions

We do not make decisions that produce a legal or similarly significant effect on you using automated processing alone.

9. Changes to this notice

We may update this notice from time to time. The current version is always the one published on this page.
